Client Overview

Our client is a rapidly growing, multi-site retail and forecourt operator managing more than 70 petrol station locations across the UK, with head office operations based in Wales. Each site operates a small back-office environment and relies heavily on printing and scanning to support daily trading activity, supplier invoicing, and centralised reporting.

With ambitious plans to significantly increase the number of locations over the coming years, the client required a print solution that could scale easily, improve cost visibility, reduce operational friction, and remove the support burden from a very small internal IT function.

tHE cHALLENGE

Before engaging iNREACH, the client’s print environment was fragmented, inefficient, and costly to manage.

Key challenges included:

  • Decentralised printer management with each site sourcing ink and consumables independently
  • Thousands of fragmented supplier invoices and no meaningful cost visibility
  • High support costs caused by driver issues and local printer faults
  • Reliance on long-distance travel by the internal IT lead or external consultants charging up to £500 per day
  • Extended downtime for simple faults due to inconsistent local setups
  • Security risks created by legacy desktop printers handling sensitive financial data
  • No reliable reporting on print volumes, usage patterns, or true cost per site

These issues resulted in wasted time, delayed invoice processing, rising operational costs, and increasing frustration across both site teams and head office.

Discovery & Print Audit

Traditional print audits rely heavily on historical usage data, which was not available due to the client’s decentralised supplier model. iNREACH therefore adopted a consultative and pragmatic discovery approach.

Working closely with the client, iNREACH:

  • Estimated realistic print volumes, capped at approximately 1,000 pages per site per month
  • Assessed physical space constraints across different site layouts
  • Defined performance, security, and accessibility requirements
  • Modelled total cost of ownership across multiple fleet options
  • Built a scalable pricing structure aligned with the client’s growth plans

This ensured the final solution was correctly sized, future-proof, and financially transparent from day one.

Solution Design

iNREACH designed a fully bespoke Managed Print Service combining secure hardware, cloud-based management software, and proactive nationwide support.

Hardware Platform

Compact Canon A4 desktop print devices were selected to suit small back-office environments while delivering enterprise-grade reliability.

Each device supports:

  • Print, copy, scan, and fax functionality
  • Up to 1,000 pages per month
  • High reliability at a significantly lower cost than traditional multi-function devices

Cloud Print Management

uniFLOW cloud print management software was deployed across all locations, enabling:

  • Centralised visibility of every device nationwide
  • Remote diagnostics and issue resolution
  • Detailed usage reporting and cost tracking
  • Secure document scanning directly into Microsoft Teams
  • ISO 27001-compliant data security used by highly regulated organisations

Fully Managed Print Service

The solution included a complete managed service layer:

  • Automatic toner replenishment
  • 24/7 device monitoring
  • Proactive maintenance and fault prevention
  • Four-hour on-site engineer response times
  • Hot-swap replacement for unrepairable devices
  • Centralised billing and reporting across all locations

Sustainability Programme

As part of the solution, iNREACH partnered with Treeapp to offset the environmental impact of the client’s print usage.

Based on projected lifetime print volumes, iNREACH committed to planting over 500 trees. The client receives satellite imagery, annual progress updates, and full transparency over reforestation activity.

Implementation & Delivery

The nationwide rollout was delivered using a carefully structured, low-disruption deployment model.

To minimise impact on trading operations:

  • Deployment was delivered in 10 phased installation waves
  • The full rollout was completed within a two-month window
  • Sites were grouped regionally to reduce logistics time
  • Installations were scheduled around peak trading periods
  • Pre-configured devices were shipped directly to each location

Despite the scale of the project, all installations were completed on time and within budget.
